Power BI

Power BI consultant for dashboards that refresh themselves

A Power BI consultant helps you stop rebuilding the same reports in Excel every week and start reading numbers you trust. We build Power BI dashboards for US businesses that pull from accounting, CRM, ERP and spreadsheet data, refresh on a schedule, and show each person the view they need. Every project has a fixed price after a free review, and the reports live in your own Microsoft tenant.

Quick answer

What does a Power BI consultant do?

A Power BI consultant turns data scattered across accounting, CRM, ERP and spreadsheets into Power BI dashboards that refresh on a schedule and show each person the view they need. Most of the work is agreeing on metric definitions and cleaning data, so leaders can trust the numbers instead of rebuilding reports in Excel every week.

  • Most reporting problems are data problems, not chart problems.
  • Metrics and definitions are agreed first, before any report pages are built.
  • Power BI suits Microsoft 365 companies, complex data models and finance-heavy reporting.
  • Row-level security can show each region or team only its own data.

01

What a Power BI consultant does

Most reporting problems are not chart problems. They are data problems: numbers live in several systems, definitions differ between teams, and someone spends hours each week stitching exports together.

A Power BI consultant fixes the pipeline first, then builds the visuals. That means connecting sources, cleaning data with Power Query, designing a proper data model, writing DAX measures that match how your business defines revenue or margin, and setting up refresh and access.

  • Data source connection and scheduled refresh through a gateway where needed
  • Star-schema data modeling for fast, accurate reports
  • DAX measures for KPIs, time intelligence and targets
  • Row-level security so each manager sees only their region or team
  • Workspace, app and sharing setup in the Power BI service

02

Power BI dashboard examples we build

A good Power BI dashboard answers a small set of questions a specific person asks every week. We design each report page around those questions rather than packing in every chart possible.

As one example from our case studies, an insurance brokerage cut report preparation from 4-5 hours to under 5 minutes, and reporting accuracy rose from about 75% to 99%.

  • Executive and owner dashboards: revenue, margin, cash and pipeline on one page
  • Sales dashboards: pipeline by stage, win rates, rep performance
  • Finance dashboards: P&L vs budget, AR aging, expense trends
  • Operations dashboards: orders, fulfillment times, inventory, utilization
  • Marketing dashboards: spend, leads and cost per lead by channel

WHAT WE BUILD

What we automate

Typical automations, each scoped and quoted at a fixed price after a free review.

01

Scheduled data refresh

Reports refresh several times a day from QuickBooks, Salesforce, SQL or SharePoint through the Power BI service and an on-premises gateway where needed.

02

Excel export replacement

Weekly CSV and Excel exports that someone merged by hand are replaced with Power Query steps that clean and combine the data automatically.

03

KPI threshold alerts

Data alerts or Power Automate flows notify a manager by email or Teams when a KPI such as AR over 60 days or daily orders crosses a set limit.

04

Subscribed report emails

Leaders receive a scheduled email snapshot of the dashboard pages they care about each Monday morning.

05

Data warehouse loads

For larger setups, nightly pipelines load source data into SQL Server, Azure SQL or Fabric so Power BI reads from one clean model.

06

Region and team security

Row-level security rules filter each viewer's data automatically based on their login, so one report serves every manager.

03

Power BI consulting services: from messy data to a trusted report

Our Power BI consulting services follow the same staged path on every project. We agree on metrics and definitions first, because a beautiful report built on unclear numbers creates more arguments, not fewer.

Then we build one dashboard end to end, get it in front of real users, and adjust before adding more. This keeps early value high and avoids months of building reports nobody opens.

  • Stage 1: free review of sources, current reports and key questions
  • Stage 2: metric definitions, data model and first dashboard
  • Stage 3: additional pages, security, refresh and sharing
  • Stage 4: handover, documentation and training

04

When to hire a Power BI developer

Hire a Power BI developer when someone on your team spends hours each week building the same report, when leaders do not trust the numbers, or when a report built in-house has become too slow or fragile to change.

It also makes sense when you are moving off Excel-based reporting, adding a new system such as an ERP or CRM, or need data from several sources combined in one place. For smaller one-off needs, we can also review and fix an existing report rather than rebuild it.

05

Power BI vs Looker Studio

Power BI is the stronger choice for Microsoft 365 companies, for complex data models, and for finance-heavy reporting that needs detailed DAX calculations and row-level security. Licensing is per user for sharing.

Looker Studio is free, browser-based and fits well with Google Workspace, Google Ads and GA4. It is a good choice for marketing reporting and simpler business dashboards. We build both and recommend based on your stack and needs.

06

What Power BI consulting costs

We quote a fixed price after the free review. The main cost drivers are the number of data sources, how much cleanup the data needs, the number of report pages, and security requirements.

Microsoft licenses are separate. Viewers typically need Power BI Pro or Premium Per User licenses unless your organization has Premium or Fabric capacity. A first dashboard usually ships in 2-3 weeks, and larger reporting programs are delivered in stages over 4-8 weeks.

FAQ

Power BI Consulting questions

How much does a Power BI consultant cost?

We quote a fixed price after a free review instead of billing hourly. Cost depends on the number of data sources, the cleanup needed and the number of report pages. Power BI licenses are billed separately by Microsoft.

How long does it take to build a Power BI dashboard?

A first dashboard on clean data typically takes 2-3 weeks including review with your team. Projects with several messy sources or a data warehouse take longer and are delivered in stages.

Can Power BI connect to QuickBooks or our CRM?

Yes. Power BI connects to many systems directly, including Salesforce, Dynamics 365 and SQL databases. For tools without a good native connector, such as some accounting platforms, we use an integration or a staging database to feed the report.

Do all viewers need a Power BI license?

Usually, yes. Sharing reports generally requires Pro or Premium Per User licenses for viewers, unless your organization has Premium or Fabric capacity. We confirm the right setup during the review.

Can you fix a slow or broken Power BI report?

Yes. Slow reports are usually caused by the data model or heavy DAX, not the visuals. We review the model, refresh setup and measures, then fix the root cause.

Will my team be able to update the dashboards?

Yes. We document the data model and measures and run a handover session. Everything is built in your tenant, so your team or any future developer can maintain it.
