Property management
AI automation agency for property management
We build property management automation for residential and mixed portfolio managers who are tired of doing the same leasing, maintenance and accounting tasks by hand. Our automations work alongside AppFolio, Buildium, Yardi or Rent Manager, so your team spends less time copying data and more time with owners and residents.

Quick answer
What can a property management company automate with AI?
A property management company can automate maintenance work order triage, leasing inquiry replies from Zillow Rental Manager and Apartments.com, and make-ready turnover checklists alongside AppFolio, Buildium, Yardi or Rent Manager. AI can also track vendor certificates of insurance, send renewal and delinquency follow-ups, and answer after-hours maintenance calls, paging on-call staff only for emergencies.
- Work orders are classified by issue and priority, then routed to the right vendor
- A notice to vacate starts a turnover checklist with a target rent-ready date
- Vendor COIs and W-9s are read on upload, with reminders before expiration
- Owner statements from AppFolio or Buildium become plain-English monthly owner updates

The biggest time sinks in property management
Property managers run several businesses at once: leasing, maintenance coordination, accounting and owner relations. Each one has its own inbox, portal and vendor list, and the gaps between them are where hours disappear. A work order comes in through the resident portal, someone calls the vendor, someone else updates the ticket, and the owner still emails asking for a status.
The tasks we hear about most often are:
- Maintenance intake and triage: deciding what is an emergency, which vendor to send and whether owner approval is needed
- Leasing inquiries from Zillow Rental Manager, Apartments.com and your website, plus showing scheduling
- Make-ready and turnover: move-out inspection, punch list, vendor scheduling, photos and relisting
- Lease renewals, rent increase notices and delinquency follow-up
- Vendor compliance: certificates of insurance, W-9s and license expirations
- Monthly owner statements, variance notes and portfolio reports

Property management automation we build
Our property management automation connects your PMS to the email, phone, forms and spreadsheets around it. When a resident submits a work order, an automation can classify it, check the unit's warranty or owner approval limit, and send it to the right vendor. When a unit gives notice, a make-ready checklist starts with dates, vendors and photo requirements already filled in.
We do not replace your PMS. AppFolio, Buildium, Yardi and Rent Manager stay the system of record. Where an API is available we read and write directly; where it is limited we use exports, email parsing or scheduled reports, and we tell you up front which approach applies.
WHAT WE BUILD
What we automate for property management
Typical automations, each scoped and quoted at a fixed price after a free review.
Work order triage
When a resident submits a request in the portal or by text, AI classifies the issue and priority, asks follow-up questions and routes it to the right vendor or on-call tech.
Leasing inquiry response
Inquiries from Zillow Rental Manager, Apartments.com and your site get a reply with availability and criteria, plus a link to book a showing through ShowMojo or Rently.
Make-ready and turnover tracker
A notice to vacate starts a turnover checklist with inspection, paint, clean and repair tasks, vendor scheduling and a target rent-ready date.
Vendor COI and license tracking
Certificates of insurance and W-9s are read on upload, expiration dates are logged, and vendors get automatic reminders before they lapse.
Renewal and delinquency follow-up
Residents with leases ending in 60-90 days get renewal offers, and late balances trigger reminder sequences that follow your notice policy.
Owner reporting pack
Monthly owner statements are pulled from AppFolio or Buildium, combined with work order and vacancy notes, and summarized into a plain-English owner update.
After-hours maintenance line
An AI voice agent answers after-hours calls, separates emergencies from routine requests and pages the on-call manager only when needed.
03
AI agents for property managers
An AI leasing assistant can answer prospect questions about availability, pet policy, rent and application steps, then book a self-guided or agent-led showing. It answers from your listing data and policies, and passes anything outside them to a leasing agent.
On the maintenance side, an AI agent can read a resident's message and photos, ask follow-up questions (Is water actively leaking? Which room? Is the breaker tripped?), assign a priority and open the work order. Emergencies like active leaks, gas smells or no heat in winter go straight to your on-call process. An AI voice agent can handle after-hours calls the same way so your on-call manager only gets woken for real emergencies.
Fair housing applies to every resident and prospect conversation. We keep AI responses tied to published criteria and property facts and test them against steering and discrimination risks. Texting and calling follow TCPA consent rules. This is practical guidance, not legal advice; have your counsel review scripts and screening language.

Tools we connect for property management companies
Most of our property management work involves AppFolio, Buildium, Yardi Breeze or Voyager, Rent Manager and Propertyware, along with tools like Zillow Rental Manager, ShowMojo, Rently, Latchel, Property Meld, CompanyCam and QuickBooks Online for management company books. We also build internal tools in AppSheet or Power Apps when you need a field inspection app or vendor portal that your PMS does not offer.
The workflow layer is usually n8n, Zapier or Make, with custom Python where we need to process exports or reconcile data between systems.
05
How a property management automation project works
It starts with a free review. We look at your door count, PMS, current workflows and where staff time goes. You get a short list of automations ranked by hours saved and risk, and a fixed quote for the first stage.
We then build, test with real work orders and units (or a sandbox), and roll out to one portfolio or region first. Once your team is comfortable, we extend to the rest. Every account, workflow and script lives in your company's accounts, so nothing is locked to us.
06
What property management automation costs
Pricing is fixed per project after the free review, never hourly. A focused build, like work order triage or COI expiration tracking, typically takes 1-3 weeks. A broader program covering leasing, maintenance, make-ready and owner reporting typically takes 4-8 weeks in stages.
Your running costs are the subscriptions you already have plus automation hosting and AI usage, billed directly to your accounts. Many managers start with one painful workflow, see how it runs for a month, and then add the next.

FAQ
AI automation for Property Management questions
Can you automate AppFolio?
Yes, within what AppFolio allows. AppFolio's API access is limited for many plans, so we often work with scheduled reports, email notifications and exports alongside any API access you have. We confirm the approach during the free review.
What property management tasks can be automated?
Common ones are maintenance intake and vendor dispatch, leasing inquiry replies and showing scheduling, make-ready checklists, COI tracking, renewal and delinquency reminders, and owner reports. Decisions like approvals, evictions and screening outcomes stay with your team.
Can AI handle after-hours maintenance calls?
An AI voice agent can answer, ask the right triage questions, log the request and escalate true emergencies to your on-call person. It follows the emergency rules you define, and anything unclear is escalated rather than guessed.
Does AI leasing raise fair housing concerns?
It can if it is not set up carefully. We keep answers tied to published criteria and property facts, avoid any steering language and test responses before launch. Your counsel should review the scripts.
Do we need to switch from Buildium or Yardi?
No. Your PMS stays the system of record. We add automations around it and only build separate tools, like an inspection app in AppSheet, where the PMS has a gap.
How long does a property management automation project take?
A single workflow typically takes 1-3 weeks. A multi-stage program across leasing, maintenance and reporting typically takes 4-8 weeks, rolled out one portfolio at a time.
