Government contractors

AI automation agency for government contractors

We build AI automation for federal and state government contractors that want capture teams pursuing the right bids and program staff delivering, not hunting through portals and reformatting past proposals. Our work connects SAM.gov, your proposal library, contract records, timekeeping and accounting systems so opportunity tracking, RFP responses, compliance tracking and reporting take far less manual effort.

Quick answer

How can AI automation help government contractors?

AI automation helps government contractors by monitoring SAM.gov for matching opportunities, building RFP compliance matrices, finding past performance content and tracking deliverables and option periods. It can also send timesheet reminders and charge code checks, while tools handling CUI stay inside an approved environment and people review every proposal and approval.

  • SAM.gov notices are scored against your NAICS codes and capabilities and summarized daily
  • AI agents extract Section L and M requirements into a draft compliance matrix
  • Automation touching CUI stays inside approved environments such as Microsoft 365 GCC High
  • Timesheet reminders and charge code checks support DCAA practices without replacing employee entry

01

Where government contractors lose the most time

Small and mid-size contractors compete with larger primes while running business development, contracts, finance and security with a lean team. Much of that team's week goes to reading solicitations, building compliance matrices, chasing timesheets and assembling reports for contracting officers and primes.

The workload spikes around proposal deadlines, option year renewals and audits, which is exactly when there is least time to spare.

  • Searching SAM.gov and state procurement portals daily for new opportunities, amendments and sources sought notices
  • Reading RFPs and building compliance matrices from Sections L and M
  • Finding and adapting past performance write-ups, resumes and boilerplate from old proposals
  • Tracking CDRLs, deliverable due dates, option periods and subcontract flowdowns
  • Chasing daily timesheets and reconciling hours to charge codes before invoicing
  • Preparing monthly status reports and incurred cost support

02

Government contractor automation we build

We often start with opportunity monitoring, because it is simple to automate and feeds everything else. A workflow checks SAM.gov on a schedule using your NAICS codes, set-asides, agencies and keywords, scores new notices against your capabilities and posts a short summary to your capture team, with amendments to tracked bids flagged separately.

Next comes proposal support, then contract compliance and reporting. Reporting work can save real hours: in one of our case studies, a compliance consulting firm saved 30+ hours a month and now produces status reports in under 15 minutes instead of 4-5 hours.

WHAT WE BUILD

What we automate for government contractors

Typical automations, each scoped and quoted at a fixed price after a free review.

01

SAM.gov opportunity monitoring

Checks SAM.gov daily by NAICS, set-aside, agency and keyword, scores new notices against your capabilities and posts summaries to Teams or email.

02

RFP compliance matrix builder

An AI agent reads the solicitation and attachments, extracts instructions and shall statements from Sections L and M and builds a draft compliance matrix.

03

Proposal content search

Searches your SharePoint library of past proposals, past performance and resumes and suggests relevant passages for each section of a new response.

04

Contract deliverable and option tracking

Tracks CDRLs, deliverable due dates, option exercise windows and period of performance end dates and alerts program and contracts staff in advance.

05

Timesheet reminders and charge code checks

Sends daily reminders, flags missing or late timesheets and checks entries against valid charge codes in Costpoint or Unanet before supervisor approval.

06

Monthly status reports

Pulls hours, spend, milestones and risks from project and accounting systems into a status report template for program managers to finalize.

07

Pipeline and backlog dashboard

Combines capture pipeline, awarded backlog and burn rates by contract into a Power BI dashboard that refreshes on its own.

03

AI agents for RFP responses and proposals

AI agents help most with the reading and first drafts. A proposal agent can read an RFP and its attachments, extract every shall statement and instruction into a compliance matrix, and map each requirement to the right section of your outline. It can then search your library of past proposals, past performance and resumes and suggest relevant content for each section.

Writers still own the win themes, pricing and final language, and a person reviews every page before submission. Agents run in an environment you control and are configured not to train on your content, which matters when proposals include pricing and proprietary approaches.

04

CMMC, DCAA and data handling

Defense contractors handling Federal Contract Information or Controlled Unclassified Information face DFARS clauses, NIST SP 800-171 and CMMC requirements. We keep automation that touches CUI inside your approved environment, such as Microsoft 365 GCC High or Azure Government when that is where your CUI lives, and do not send CUI to tools outside that boundary. We do not perform CMMC assessments or claim certification on your behalf.

Contractors with cost-type contracts also need timekeeping and accounting practices that hold up to DCAA review. Automation can send timesheet reminders, flag missing or late entries and check hours against charge codes, but employees still record their own time and supervisors approve it. Your contracts, finance and compliance leads decide what your obligations are.

05

Tools we connect for government contractors

We work with the systems common at GovCon firms: the SAM.gov API and state procurement portals, GovWin IQ and similar market intelligence tools, Deltek Costpoint and Deltek GovCon ERP, Unanet, QuickBooks with timekeeping add-ons, Microsoft 365 and SharePoint for proposal libraries, and CRMs such as Salesforce or HubSpot for capture pipelines.

Workflows are built in Power Automate, n8n or custom Python, and dashboards land in Power BI so leadership can see pipeline, backlog, burn rates and deliverable status in one place.

06

How a project works and what it costs

We start with a free review, usually a screen share of how you find opportunities today or how your last proposal came together. You then receive a fixed-price quote split into stages. Most contractor projects take 1 to 8 weeks, with work inside GCC High or other restricted environments typically taking longer to set up.

Each stage ships something usable, and your company owns every account, workflow and line of code. That keeps the automation with you through recompetes, staff turnover and new contract vehicles.

FAQ

AI automation for Government Contractors questions

Can AI help write government proposals?

Yes. AI can build compliance matrices, find relevant past performance and draft first passes of sections from your own content. Your proposal team still owns strategy, pricing and final language, and a person reviews everything before submission.

How do I automate SAM.gov opportunity searches?

A workflow can query the SAM.gov API on a schedule using your NAICS codes, set-asides, agencies and keywords, then score and summarize new notices for your team. It can also flag amendments to opportunities you are already tracking.

Is AI automation allowed with CUI and CMMC?

It can be, if the tools and data stay inside an environment approved for CUI, such as GCC High, and your system security plan covers them. Your security and compliance leads decide what is in scope. We do not certify CMMC compliance.

Can timekeeping automation support DCAA requirements?

Automation can support your timekeeping practices with reminders, missing entry alerts and charge code checks. Employees still enter their own time and supervisors approve it, and your policies and auditors determine what is adequate.

Does automation work with Deltek Costpoint or Unanet?

Both offer integration options such as APIs, exports and reporting tools that we can build on. The right approach depends on your version and hosting, which we confirm during the free review.

How much does automation cost for a government contractor?

We quote a fixed price after a free review. SAM.gov monitoring can be live in about a week, while proposal support with a content library or work inside GCC High typically takes four to eight weeks.
