CRM automation
CRM automation that keeps your pipeline accurate
CRM automation helps US sales and service teams spend less time updating records and more time with customers. We automate lead capture, routing, follow-ups, data hygiene and reporting in HubSpot, Salesforce and other CRMs, so the pipeline reflects what is really happening without constant manual entry.

Quick answer
What is CRM automation?
CRM automation uses rules, integrations and AI to create, update and act on CRM records without manual data entry. When a lead submits a form, a deal changes stage or a customer replies, the CRM updates itself, assigns the next task and notifies the right person, so your pipeline stays accurate and reports can be trusted.
- CRM automation keeps records current without relying on reps to log every call.
- HubSpot workflows can be extended with n8n, Make or the HubSpot API.
- AI steps can summarize calls, draft follow-ups and classify inbound inquiries by intent.
- Projects usually start with lead handling and early data cleanup to remove duplicates.

What is CRM automation?
CRM automation uses rules, integrations and AI to create, update and act on CRM records without someone doing it by hand. When a lead fills in a form, a deal changes stage or a customer replies, the CRM updates itself, assigns the next task and notifies the right person.
Most CRMs already include some automation, but it is often half set up or limited to one team. The bigger wins usually come from connecting the CRM to the rest of the business, such as your website, ads, calendar, phone system, billing and support tools.
02
Common CRM problems automation can fix
A CRM is only as useful as the data inside it. When updates depend on busy salespeople remembering to log every call, the data goes stale and reports stop being trusted. These are the issues we are asked to fix most often:
- New leads sit unassigned or get contacted hours later
- Duplicate contacts and companies with conflicting details
- Deals stuck in old stages because nobody updated them
- Follow-ups forgotten after a meeting or quote
- Sales and finance using different numbers because the CRM and billing system are not connected
- Pipeline reports rebuilt by hand in spreadsheets every week
WHAT WE BUILD
What we automate
Typical automations, each scoped and quoted at a fixed price after a free review.
Speed-to-lead routing
New leads from web forms, ads or chat are deduplicated, scored and assigned to the right rep by territory or service, with an instant Slack or SMS alert and a first-touch email.
Meeting to deal creation
When a prospect books through Calendly or HubSpot Meetings, the CRM creates or updates the deal, sets the stage and adds prep tasks for the rep.
Call and email summaries
Call transcripts or email threads are summarized by AI and logged on the contact with next steps, so notes stay complete without manual typing.
Stale deal alerts
Deals with no activity for a set number of days trigger a reminder to the owner and appear on a weekly report for the sales manager.
Closed-won handoff
A closed deal creates the customer in QuickBooks or your billing tool, starts onboarding tasks and notifies the delivery team with the deal details.
Data hygiene and enrichment
Scheduled jobs merge duplicates, standardize phone numbers and addresses, and fill missing company fields so lists and reports stay reliable.
Pipeline reporting
CRM data is pulled into Power BI or Looker Studio dashboards that show pipeline by stage, rep and source without weekly spreadsheet work.
03
HubSpot automation
Our HubSpot automation work covers workflows, lead scoring, lifecycle stage updates, sequences, ticket routing and custom properties. Where HubSpot's built-in workflows reach their limits, or your plan tier does not include them, we extend them with n8n, Make or custom code through the HubSpot API.
Typical projects include routing form leads by territory or service line, creating deals and tasks when a meeting is booked, syncing closed deals to QuickBooks for invoicing, and enriching new contacts with company data before a rep picks them up.
04
Salesforce automation
For Salesforce automation, we work with Flow, assignment rules, approval processes and the Salesforce APIs. We focus on processes that sales operations teams struggle to maintain, such as lead-to-account matching, opportunity stage hygiene, renewal reminders and handoffs from sales to onboarding.
We also connect Salesforce to tools that sit outside it, such as email, calendars, e-signature, ERP and support platforms, so records update when something happens elsewhere. Where a change needs admin rights, we work alongside your Salesforce admin and document every Flow we add.
05
CRM workflow automation with AI
AI adds a layer that rule-based CRM workflow automation cannot handle on its own. An AI step can summarize a call transcript or email thread and log it on the contact, draft a follow-up for the rep to approve, classify inbound inquiries by intent, or pull the key details from an RFQ and create a deal with the right fields filled in.
We keep people in control. AI suggestions are logged, drafts are reviewed before sending, and the CRM stays the single record of what was agreed with each customer.
06
How CRM automation projects work and what they cost
We start with a free review of your CRM, your sales or service process and the tools around it. You get a fixed quote and a staged plan, usually starting with lead handling because it affects revenue most directly. Data cleanup comes early too, since automations built on duplicate records cause more problems than they solve.
Typical CRM automation projects take one to five weeks. Cost depends on the CRM, the number of connected systems and how much existing data needs cleaning. Everything is built in your own CRM and accounts, and you keep full ownership after handover.

FAQ
CRM Automation questions
What can be automated in a CRM?
Lead capture and assignment, follow-up tasks and emails, deal stage updates, data cleanup, notifications, handoffs to finance or onboarding, and reporting can all be automated. AI can also summarize calls and draft follow-ups for review.
Is HubSpot automation possible on lower plans?
HubSpot's built-in workflows depend on your plan tier. When a plan does not include the workflow features you need, we can often build the automation externally with n8n or Make using the HubSpot API.
Do you work with Salesforce Flow?
Yes. We build and document Flows, assignment rules and approval processes, and connect Salesforce to outside systems through its APIs. We coordinate with your Salesforce admin on any change that affects permissions or core objects.
Which CRM is best for automation?
HubSpot and Salesforce have the deepest automation features, while Pipedrive, Zoho and GoHighLevel suit smaller teams. The right choice depends on your sales process, team size and budget. We usually automate the CRM you already have rather than recommend a switch.
How do I keep CRM data clean with automation?
Use rules that deduplicate on entry, standardize formats, require key fields at certain stages and run scheduled cleanup jobs. Automating data entry from forms, calendars and email also removes many of the errors that come from manual typing.
How long does CRM workflow automation take?
A focused project such as lead routing can go live in one to two weeks. Broader work across sales, onboarding and finance typically takes three to five weeks, delivered in stages.
