Dental practices
AI automation agency for dental practices
We build AI automation for dental practices and growing DSOs that want their front office spending less time on insurance portals and more time with patients. We connect your practice management system, phones and payer tools so verification, recall and treatment follow-up run on a schedule instead of on whoever has a free minute.

Quick answer
How can AI automation help a dental practice?
AI automation helps dental practices by running insurance eligibility and benefits checks before appointments, following up on unscheduled treatment, and working hygiene recall lists through Dentrix, Eaglesoft or Open Dental with Weave or NexHealth. An AI receptionist can capture missed new patient calls. Every tool that touches PHI needs a signed business associate agreement.
- Benefits breakdowns cover frequencies, waiting periods, downgrades and remaining maximums before each visit
- Diagnosed but unscheduled treatment is pulled weekly and sorted by value and age
- Recall and reactivation messages respect TCPA consent, opt-outs and quiet hours
- DSOs can roll up production, collections and case acceptance across offices in one dashboard

The biggest time sinks in a dental office
Dental front offices are small teams carrying a lot of manual work. The schedule depends on accurate insurance breakdowns, the hygiene column depends on recall, and production depends on getting diagnosed treatment onto the books.
These are the tasks we see eat the most hours:
- Insurance eligibility and benefits breakdowns: frequencies, waiting periods, downgrades and remaining maximums, checked portal by portal or by phone
- Recall and reactivation for patients overdue for hygiene, pulled from reports and worked from a list
- Unscheduled treatment follow-up, where diagnosed crowns, SRP and implants sit in the treatment plan without an appointment
- Claim attachments: narratives, perio charts and X-rays gathered for each claim that needs them
- New patient calls missed during lunch, after hours or while the front desk is checking someone out
- Morning huddle prep and, for DSOs, rolling up production, collections and case acceptance across locations
02
Dental practice automation we build
Most of our dental work falls into three groups. Front office automation handles verification, confirmations and forms. Revenue automation tracks unscheduled treatment, claim attachments and aging claims. Reporting automation pulls numbers from each office into one dashboard so owners and regional managers stop building spreadsheets every Monday.
Each automation is scoped to your actual PMS and payer mix. A practice that is mostly PPO has different verification needs than a fee-for-service office, and a DSO with Dentrix in some offices and Open Dental in others needs a reporting layer that normalizes both.
WHAT WE BUILD
What we automate for dental practices
Typical automations, each scoped and quoted at a fixed price after a free review.
Insurance verification batch
Several days ahead of each appointment, the schedule is pulled from the PMS, benefits are checked through the clearinghouse or payer portal, and a completed breakdown is attached to the appointment with gaps flagged for staff.
Unscheduled treatment follow-up
Treatment that is diagnosed but not scheduled is pulled weekly and sorted by value and age, then patients get a personalized message and the office gets a call list for the rest.
Hygiene recall and reactivation
Patients past due for recall are segmented by how overdue they are and contacted through Weave, NexHealth or RevenueWell, with bookings and opt-outs written back.
Claim attachment prep
For procedures that usually need documentation, the automation gathers the X-ray, perio chart and a drafted narrative into one packet for review before the claim goes out.
Missed call capture
An AI receptionist answers missed and after-hours calls, collects new patient details and insurance, and books or creates a callback task in the PMS.
DSO multi-location dashboard
Production, collections, case acceptance and hygiene reappointment rates are pulled nightly from each office into one Power BI or Looker Studio dashboard.
03
HIPAA, BAAs and patient messaging
Patient names, insurance details and treatment plans are protected health information. Every vendor in a workflow that handles PHI must sign a business associate agreement for the plan you are on, and we document that for each tool before we build. If a tool will not sign, the PHI step is moved to one that will, such as self-hosted n8n on your own cloud account.
Texts and automated calls also need patient consent under the TCPA and your own office policy. We build reminders and recall sequences that respect opt-outs and quiet hours. This is how we approach the build, not legal advice, so your compliance contact should review the final setup.
04
AI agents and AI receptionists for dental offices
An AI receptionist can answer the calls your team misses, collect a new patient's name, insurance and reason for visit, and either book into open slots or create a callback task. It can also handle routine questions like hours, parking and whether you accept a given plan, based on information you approve.
Behind the scenes, AI agents can read an insurance breakdown from a payer portal or a faxed benefits form and fill your verification template, or draft a claim narrative from the clinical note for the doctor to review. Clinical decisions, fees and anything about a patient's specific diagnosis stay with your team.
05
Dental software we connect
Cloud systems like Curve Dental, Denticon and Open Dental (through its API) are usually straightforward to connect. Server-based systems such as Dentrix and Eaglesoft often need a sync tool, a read-only database connection or scheduled report exports, which we confirm with your IT provider during the review.
Around the PMS we work with patient communication platforms like Weave, NexHealth and RevenueWell, practice analytics such as Dental Intelligence, clearinghouses like DentalXChange, payer portals, and Google Workspace or Microsoft 365. DSO dashboards are typically built in Power BI or Looker Studio.
06
How a dental automation project works
It starts with a free review. Your office manager or RCM lead shows us the two or three workflows that cause the most frustration, and we look at your PMS version, hosting and communication tools. You get a fixed-price scope, a timeline and the list of BAAs needed.
We build in stages, usually starting with one office or one workflow. Insurance verification for next week's schedule is a common first stage because the result is easy to check against the current process. Once your team trusts it, we roll it out to more providers or locations.
07
What dental practice automation costs
We quote a fixed price after the free review, so there are no hourly surprises. A single workflow for one office typically takes 1 to 3 weeks. A DSO project covering several locations, a verification workflow and a reporting dashboard typically takes 4 to 8 weeks.
You pay for any software subscriptions directly, in your own name, and you own every workflow and dashboard we build.

FAQ
AI automation for Dental Practices questions
Can you automate dental insurance verification?
Yes, in most offices. We pull upcoming appointments from your PMS, check eligibility and benefits through your clearinghouse or payer portals, and fill your verification form. Some payers still need a phone call, and those are flagged for staff.
Does automation work with Dentrix or Eaglesoft?
It can, though server-based systems take more setup than cloud ones. We typically use a sync tool, a read-only database connection or scheduled reports, and we confirm the approach with your IT provider before quoting.
Is an AI receptionist HIPAA compliant for a dental office?
It can be set up in a HIPAA-conscious way if the voice platform and any connected tools sign a BAA and data access is limited to what the call needs. We document this in the scope, and your compliance contact should approve it.
Can you build a dashboard for a DSO with different software in each office?
Yes. We pull data from each PMS, map it to the same definitions for production, collections and case acceptance, and show all locations side by side in Power BI or Looker Studio.
How long does dental automation take to set up?
A single workflow typically takes 1 to 3 weeks. Multi-location or multi-workflow projects typically take 4 to 8 weeks and go live in stages.
What does dental office automation cost?
Every project gets a fixed quote after a free review of your workflows and software. The price depends on the number of offices, the PMS and how many workflows are included.
