What is intelligent document processing?

Intelligent document processing, often called IDP, combines optical character recognition (OCR) with AI models that understand layout and meaning. OCR turns a scan or photo into text. The AI then works out which number is the invoice total, which date is the due date and which line items belong together, even when every vendor uses a different template.

Older template-based tools needed a separate setup for each document layout. Modern models handle new layouts much better, which makes document automation practical for businesses that receive paperwork from many different sources.

Each pipeline follows the same basic stages, adjusted to your documents and systems. The key design choice is where a person reviews the output, because no extraction method is perfect on every document.

Invoice processing automation

Invoice processing automation is the most common place to start. Vendor invoices arrive in an accounts payable inbox, the pipeline reads the vendor, invoice number, dates, totals, tax and line items, and checks them against purchase orders or expected amounts. Duplicates are flagged before they are paid.

Clean invoices are created as bills in QuickBooks Online, Xero or NetSuite, ready for approval. Anything that does not match is routed to the right person with the document and the mismatch highlighted, so they can fix it in seconds instead of re-keying the whole invoice.

PDF data extraction for reports, statements and forms

Beyond invoices, PDF data extraction covers bank and carrier statements, insurance documents, lab results, bills of lading, rate confirmations, applications and intake forms. Many of these contain tables that span pages, which we extract into structured rows rather than loose text.

Extracted data can go into a spreadsheet, a database, a CRM record or a dashboard. One insurance brokerage we worked with cut report time from 4-5 hours to under 5 minutes, and reporting accuracy rose from about 75% to 99%; you can read more in our case studies.

Accuracy, review and data security

We design for accuracy you can verify. Each extracted field carries a confidence score, and you choose the threshold for automatic approval. During testing we run the pipeline on a sample of your real documents and compare the results with the correct values before anything goes live.

Documents often contain sensitive data. We can process files within your own cloud account, use AI providers that do not train on your data, limit who can see the review queue and keep an audit trail of every change.
