Appointment setting

Appointment setting services that fill the calendar

Appointment setting services turn interested people into booked time on your calendar, whether that is a sales demo, an estimate visit or a consultation. We build AI appointment setting systems for US sales teams and service businesses that book inbound leads quickly, remind people before they show up and support outbound meeting setting, all inside your own calendar and CRM. Consent rules for calls and texts are designed in from the first workflow.

Quick answer

What do appointment setting services do?

Appointment setting services turn leads into booked, attended meetings or visits. They reply to new inquiries quickly with open slots, book directly into your calendar, send reminders that let people confirm or reschedule, rebook no-shows and, for B2B teams, set meetings from outbound outreach, then log every booking in your CRM.

  • Booking fast from inbound leads matters most, before they choose another provider.
  • Reminders that accept replies to confirm or reschedule help reduce no-shows.
  • The FCC treats AI voices as artificial voices under the TCPA.
  • AI voice suits inbound calls, requested callbacks and reminders, not cold consumer calls.

01

What appointment setting services cover

Appointment setting is the step between a lead and a conversation. For a B2B sales team it means a qualified meeting on an account executive's calendar. For a roofer, med spa or law firm it means an estimate, a visit or an intake call that actually happens.

The job has four parts, and most businesses only handle one or two well: booking new inbound leads fast, confirming and reminding so people show up, rebooking no-shows and cancellations, and, for B2B teams, setting meetings from outbound prospecting. We build the systems for all four and you choose where to start.

02

Speed-to-lead and booking from inbound leads

Someone who just filled in your form or called after hours is at their most willing to book. The longer they wait, the more likely they book with whoever answered first. The fix is to put a booking step directly in front of them while they still care.

AI appointment setting here means a text or email reply within a minute that offers real open slots, a chat assistant on the site that books directly, or an AI voice callback to someone who asked to be contacted. The booking writes straight to Google Calendar, Outlook, Calendly or your field service tool, and the CRM record shows exactly how the appointment was made.

  • Booking links that only show slots matching the service, location and staff member
  • Round-robin across reps or technicians with buffer times and territory rules
  • Short qualifying questions before the slot is confirmed, so calendars are not filled with poor fits
  • Instant handoff to a person when a lead asks something the system should not answer

WHAT WE BUILD

What we automate

Typical automations, each scoped and quoted at a fixed price after a free review.

01

Instant booking reply

When a form or ad lead arrives with texting consent, a text and email go out within a minute offering two or three open slots from the live calendar.

02

AI callback for requested contact

If a lead ticks a box asking for a call, an AI voice agent calls them back, answers basic questions and books the slot, with a transfer to staff on request.

03

Confirmation and reminder sequence

Each booking triggers a confirmation plus reminders by text and email, and replies like C, R or a free-text answer confirm, reschedule or cancel automatically.

04

No-show recovery

When an appointment is marked as missed in the calendar or CRM, the contact receives a polite rebooking message and the owner gets a task if there is no reply.

05

Waitlist backfill

A cancellation reopens the slot and offers it to waitlisted contacts in order, booking the first person who accepts.

06

Outbound meeting handoff

Positive replies from outbound email are routed to the account executive with the thread, research notes and a booking link, and the meeting is logged on the deal.

07

Show-rate reporting

A weekly Looker Studio report shows bookings by source, time from lead to booking, show rate and no-show rebooks by rep or location.

03

Reminders and no-show reduction

A booked appointment that nobody attends costs the same time as one that happens. Reminders are the cheapest fix, and they work best when the person can reply to confirm, reschedule or cancel without calling you.

We typically set a confirmation right after booking, a reminder the day before and another a couple of hours ahead, adjusted to your business. If someone cancels, the slot is reopened and, where you want it, offered to people on a waitlist. If someone does not show, a follow-up offers a new time instead of letting the lead go cold.

04

Outbound meeting setting for sales teams

For B2B teams, appointment setting often means booking meetings from cold outreach. We build that on email and on human-led calls and LinkedIn, with AI handling list research, drafting and reply sorting. When a prospect says yes, the meeting, thread and notes go to the right account executive.

Two rules shape our outbound design. We do not use AI voice for cold calls to consumers, and we keep LinkedIn activity manual because LinkedIn's help center says it does not permit bots or tools that automate activity. If you want a deeper outbound program, our AI SDR page covers the prospecting side.

05

TCPA, FCC rules and AI voice

In February 2024 the FCC ruled that AI-generated voices count as "artificial" voices under the TCPA. Calls using them to cell phones or residential lines need prior express consent, and telemarketing calls need prior express written consent. Autodialed or prerecorded telemarketing texts and calls to mobile phones carry the same written-consent requirement, and private damages are reported at $500 per violation, up to $1,500 if willful.

So we use AI voice for inbound calls, for callbacks to people who asked to be contacted, and for reminders about appointments they booked, not for cold AI calls to consumers. Consent is captured on the form with clear wording, stored with a timestamp, and opt-outs by any reasonable means are honored. This is not legal advice; confirm your own obligations with counsel.

06

What appointment setting services cost

Third-party blog roundups report appointment-setting retainers of roughly $3,000 to $10,000 a month, and pay-per-meeting pricing of $50 to $500 per meeting generally, rising to $500 to $2,000 in B2B tech. Those figures describe outsourced programs where an outside team does the calling and emailing.

We work differently. We build the appointment setting system in your accounts for a fixed price agreed after a free review, and your team or the automation runs it. Per-message and per-minute costs from SMS and voice providers are billed to you directly. Most first stages, such as instant booking and reminders, go live within one to three weeks.

FAQ

Appointment Setting Services questions

What is AI appointment setting?

AI appointment setting uses chat, text, email or voice agents to offer open slots, answer basic questions and book appointments directly into your calendar. It also sends reminders and rebooks no-shows. A person stays available for anything the system should not decide.

How much do appointment setting services cost?

Third-party roundups report outsourced retainers of about $3,000 to $10,000 a month, or $50 to $500 per meeting, higher in B2B tech. We do not run an outsourced calling team; we build the system in your accounts for a fixed price agreed after a free review.

Can an AI voice agent make cold calls to set appointments?

We do not build that for consumer calls. The FCC ruled in 2024 that AI voices are artificial voices under the TCPA, so calls to cell phones need prior express consent, and telemarketing needs written consent. We use AI voice for inbound calls, requested callbacks and reminders. This is not legal advice.

How do I reduce appointment no-shows?

Send a confirmation right after booking and reminders before the visit that let people confirm or reschedule by replying. Follow up quickly on missed appointments with a new time. Our setups automate all three and report show rates by source.

Does this work with my existing calendar and CRM?

Usually, yes. We connect Google Calendar, Outlook, Calendly and field service tools like ServiceTitan or Jobber, and log bookings in HubSpot, GoHighLevel, Salesforce or the CRM you already use.

Is appointment setting different from lead generation?

Lead generation brings interested people in; appointment setting turns them into booked, attended time. Many businesses have enough leads but lose them between the inquiry and the calendar, which is the gap this service addresses.
