HIPAA-conscious automation and BAAs

Any workflow that touches protected health information needs a vendor that will sign a business associate agreement for the plan you actually use. Before we design anything, we list every system the data will pass through and confirm BAA coverage for each one. Where a tool will not sign, PHI does not go through it, and we redesign the step (for example, with self-hosted n8n on your own cloud account, or Google Workspace and Microsoft 365 configured under their BAA terms).

We also apply the minimum necessary idea in practice: an automation that books an appointment does not need the full chart, and an AI step that classifies a fax does not need to store it. Access is role-based, logs are kept, and you own every account. This is careful engineering, not legal advice, so your compliance officer or counsel should still sign off on the final design.

AI agents for medical practices

AI agents are useful in a clinic when the input is messy and the output is structured. A referral fax with a cover sheet, a face sheet and three pages of notes can be read by a model, matched to an existing patient or flagged as new, and turned into a draft referral record for a human to approve.

We keep a person in the loop for anything clinical or financial. Reporting usually lands in Power BI or Looker Studio, so managers see referral volume, no-shows and AR aging in one place.
