Quick answer
What does a custom AI chatbot do?
A custom AI chatbot answers customer or staff questions in plain language using your own documents, FAQs, policies and product data. Through AI chatbot development, it can also capture leads into your CRM, book appointments, look up order status and hand conversations to a person when needed. It handles varied wording that rule-based, button-driven bots cannot.
- Custom AI chatbots answer from your own content, not generic internet knowledge.
- Website chatbots can qualify leads and send them to your CRM with context.
- Internal chatbots answer staff questions from SOPs, handbooks and shared drives.
- A focused website chatbot typically goes live within one to three weeks.
01
What a custom AI chatbot does
A custom AI chatbot uses a large language model plus your own documents, FAQs, help articles and product data to answer questions in plain language. Unlike older menu-driven bots, it understands how people actually type and can follow a conversation across several turns.
The difference between a useful chatbot and a frustrating one is mostly in the setup: what content it can draw on, what it is told never to say, when it hands off to a human and what it does with the information it collects. That is where most of our work goes.
02
Website chatbot for lead capture and support
A website chatbot is the most common starting point. It sits on your site, answers questions about your services, and turns interested visitors into leads with their contact details and context already captured.
A well-built website chatbot can typically:
- Answer service, pricing-range and policy questions from your approved content only
- Ask qualifying questions and send the lead, with a conversation summary, to your CRM
- Book a call or appointment through Calendly, Google Calendar or your booking tool
- Check order or ticket status by looking up your system, where an API is available
- Hand the conversation to a person by email, Slack or live chat when it is out of its depth
WHAT WE BUILD
What we automate
Typical automations, each scoped and quoted at a fixed price after a free review.
Lead qualification and CRM entry
When a visitor shows buying intent, the chatbot asks your qualifying questions and creates a contact with a conversation summary in HubSpot, Pipedrive or GoHighLevel.
Appointment booking
The chatbot offers open slots from Calendly or Google Calendar, books the meeting and sends a confirmation, without a back-and-forth by email.
Support deflection with handoff
Common support questions are answered from your help center, and anything unresolved becomes a ticket in Zendesk, Freshdesk or Gorgias with the full transcript.
Order and status lookups
Customers ask where their order or request stands, and the chatbot checks Shopify or your system through an API and replies with the current status.
Internal SOP assistant
Staff ask how to do a task in Slack or Teams, and the chatbot answers from your SOPs and handbooks with a link to the source document.
Conversation insights report
Each week, chat logs are summarized into the top questions, missed answers and lead counts in a Google Sheet so you can improve content.
03
Internal chatbots for your team
Not every chatbot faces customers. Internal assistants answer staff questions from your SOPs, handbooks, past proposals and shared drives, so people stop interrupting the one colleague who knows where everything is.
We usually connect internal chatbots to Google Drive, SharePoint, Notion or Confluence, and deploy them where the team already works, such as Slack, Microsoft Teams or a simple web page behind a login. Access can follow your existing permissions so people only see answers from documents they are allowed to read.
04
How we approach chatbot development
As a chatbot development company, we start with a free review of the questions you get, the content you have and the systems the bot needs to touch. You then get a fixed price and a staged plan.
We build the knowledge base first and test the bot against a list of real questions, including awkward ones, before it goes live. After launch we review conversation logs with you, close gaps in the content and adjust the instructions. The bot runs in accounts you own, and you can update its content without a developer.
- Free review of your questions, content and tools
- Fixed quote and staged plan
- Knowledge base build and test set of real questions
- Soft launch on part of your site or one team
- Log review, tuning and handover documentation
05
AI chatbot vs rule-based chatbot
Rule-based chatbots follow a decision tree of buttons and keywords. They are predictable but stall as soon as a visitor asks something the tree did not anticipate. AI chatbots handle open questions and varied wording, which makes them far more useful for real conversations.
The tradeoff is control. An AI model can phrase things in ways you did not write, so we limit it to your approved content, add rules for topics it must avoid and route anything sensitive to a person. For some steps, such as collecting a required field, we still use fixed logic inside the AI chatbot.
06
What AI chatbot development costs
Every project has a fixed price, quoted after the free review. The main cost drivers are how much content the bot needs to learn, how many systems it connects to (CRM, calendar, order system, help desk) and how many channels it runs on. A focused website chatbot typically goes live within one to three weeks, while bots with several integrations take longer and ship in stages.
Ongoing costs are usually small: model usage from a provider such as OpenAI or Anthropic and, if you use one, a chat widget or hosting subscription. We estimate these before you commit.
07
How to get started
Send us your most common customer or staff questions, a link to your site and a list of the tools the bot should connect to. We will review them, suggest where a chatbot fits and where it does not, and send a fixed quote.

FAQ
AI Chatbot Development questions
How much does it cost to build an AI chatbot for a website?
We quote a fixed price after a free review, based on how much content the bot needs, which systems it connects to and how many channels it runs on. Ongoing model and hosting costs are usually modest, and we estimate them before you start.
Can a custom AI chatbot be trained on our own documents?
Yes. We load your FAQs, help articles, policies and other approved documents into a knowledge base the chatbot answers from. We also set rules so it avoids topics outside that content.
Will an AI chatbot give customers wrong answers?
Any AI model can make mistakes, so we limit the bot to approved content, test it against real questions before launch and route uncertain or sensitive conversations to a person. Reviewing logs after launch helps catch gaps early.
Can the chatbot connect to our CRM and calendar?
Usually, yes. We commonly connect chatbots to HubSpot, Pipedrive, GoHighLevel, Salesforce, Calendly and Google Calendar, and to most other tools that offer an API or webhook.
How long does chatbot development take?
A focused website chatbot typically goes live within one to three weeks after the review. Bots with several integrations or channels are delivered in stages so you can start using them sooner.
Can we update the chatbot ourselves later?
Yes. You own the accounts, and we set up the knowledge base so your team can add or change content without a developer. We document how to adjust the bot's instructions too.
