Customer service

AI customer service on chat, email and voice

AI customer service lets US businesses answer routine questions on chat, email and the phone at any hour, using AI agents that read from your own help content and can act in your systems. We set up and connect these agents, whether on Intercom Fin, Zendesk, Salesforce Agentforce or a custom build, so they can check an order, update an address or open a ticket, and pass anything sensitive to a person with the full context.

Quick answer

What is AI customer service?

AI customer service uses AI agents to answer support questions on chat, email and voice, grounded in your own knowledge base and connected to systems such as your store or help desk. The agent can look up orders, start returns and open tickets, and hands off to a human with full context when needed.

  • Ground the AI agent in your own knowledge base, not general internet knowledge.
  • Actions like order lookups resolve more questions than policy answers alone.
  • Salesforce reports about 30% of service cases are handled by AI today.
  • Customers expect a route to a human, so handoff must be designed in.

01

What is AI customer service?

AI customer service is an AI agent that handles support conversations, grounded in your knowledge base rather than general internet knowledge. When a customer asks about a return window, the agent finds your returns policy and answers from it, and when it cannot find an answer it says so and routes the question.

The agent can work across channels: a chat widget on your site, replies in your support inbox, and voice on your support line. The same knowledge and the same rules apply everywhere, so a customer gets a consistent answer whether they email or call. Around that sits QA, analytics and agent-assist tools that help your own staff write faster replies.

02

How AI customer service agents work

A good setup has three layers. The knowledge layer is your help center, policies, product data and past resolved tickets, cleaned up so the agent is not answering from outdated pages. The action layer is a set of permitted lookups and changes, such as order status from Shopify, a shipping update from ShipStation or a booking change in your scheduling tool. The rules layer defines what the agent may never do and when it must hand off.

Actions are where most of the value is. Answering "where is my order" from a policy page helps a little; looking up the actual order and giving the tracking link resolves it. We give the agent the narrowest permissions that do the job, and refunds or account changes above a limit you set go to a person for approval.

  • Order lookups, tracking links and delivery estimates
  • Address, appointment or subscription changes within limits you set
  • Refund and return requests started, with approval rules
  • Ticket creation with category, priority and a summary for staff

WHAT WE BUILD

What we automate

Typical automations, each scoped and quoted at a fixed price after a free review.

01

Knowledge base cleanup and sync

Help center articles, policies and macros are deduplicated and kept in sync with the AI agent, so a policy change updates answers the same day.

02

Order status lookups

When a customer asks about an order, the agent verifies their email or order number, pulls status from Shopify or ShipStation and replies with tracking details.

03

Email ticket drafting

New emails in Zendesk, Gorgias or Help Scout get a classified category and a drafted reply from the knowledge base for an agent to send or edit.

04

Voice line deflection

On your support number, an AI voice agent answers common questions and order lookups, and transfers to staff with a summary when asked or when unsure.

05

Context-rich human handoff

Escalated conversations arrive in the help desk with the transcript, customer record, actions tried and a one-line reason for escalation.

06

Refund and return requests

The agent checks eligibility against your policy and starts the return; refunds above your set limit wait for staff approval.

07

AI quality review

A weekly job samples AI conversations, flags wrong or unsupported answers and lists missing help articles for your team to write.

03

Human handoff, done properly

Customers want a way out of the bot. A Gartner survey of 3,566 customers in August 2026 reportedly found that 87% say companies using generative AI for service must offer access to a human agent. We treat that as a design requirement, not an afterthought.

Every agent we set up can hand off on request, on detected frustration, on topics you list (billing disputes, safety, legal threats) and whenever its confidence is low. The person who picks it up sees the conversation, the customer record and what the AI already tried, so the customer does not repeat themselves.

04

Intercom Fin vs Zendesk vs Agentforce

Intercom's pricing page lists Fin at $0.99 per outcome, counted when the customer confirms the issue is resolved or Fin completes a workflow, with seats from $29 to $132 per seat a month on annual plans, as published in October 2026. It suits teams that want a fast start on chat and email.

Zendesk AI agents reportedly bill per automated resolution, though Zendesk does not publish the rate, and they fit companies already running Zendesk for tickets. Salesforce Agentforce reportedly launched at $2 per conversation before moving to Flex Credits, and makes sense when your customer data and cases already live in Salesforce. For smaller teams on other help desks, a custom agent built with n8n and a language model can be the better fit. We help you pick during the free review and do not resell any of them.

05

What the data says about AI in service

Salesforce's State of Service report from November 2025, based on 6,500 respondents, found about 30% of cases are handled by AI today, a share service teams project to reach 50% by 2027. Reps using AI spend 20% less time on routine cases.

Gartner has also been reported as predicting that agentic AI will autonomously resolve 80% of common customer service issues by 2029. Forecasts like that are useful for direction, not for your budget. We size your project from your own ticket data: which question types are frequent, which are fully answerable from documentation and which need an action in another system.

06

How an AI customer service project works

We start with a free review of a sample of recent tickets, your help center and your systems. From that we propose a fixed-price build that starts with the highest-volume, lowest-risk topics, often order status, hours and policies, then adds actions and channels in stages.

Before launch we test the agent against real past questions and edge cases, and we keep it on a short leash for the first weeks with daily transcript reviews. You own the configuration, the knowledge base and any custom code. Platform fees, per-resolution charges and model usage are billed to you by the vendors.

FAQ

AI Customer Service questions

Can AI replace customer service agents?

It can take on a large share of routine questions, but not the whole job. Complex, emotional or high-value cases still need people, and customers expect a route to a human. Most teams use AI to absorb repeat questions so staff handle the rest better.

How much does AI customer service cost?

Platform pricing varies. Intercom lists Fin at $0.99 per outcome as published in October 2026, Zendesk bills per automated resolution without publishing the rate, and Agentforce moved to Flex Credits. Our setup work is a fixed price after a free review.

Will the AI make up answers?

It can if it is poorly grounded. We restrict the agent to your knowledge base and connected systems, instruct it to say when it does not know, test it on past tickets and review transcripts after launch.

Which is better, Intercom Fin or Zendesk AI?

If you already run Zendesk for tickets, its AI agents keep everything in one place. Intercom Fin is often quicker to start and publishes per-outcome pricing. The right choice depends on your current help desk, channels and data, which we review first.

Can an AI customer service agent take actions like refunds?

Yes, with permissions you control. It can look up orders, start returns and change bookings, while refunds or changes above a limit wait for staff approval. Every action is logged.

How long does it take to launch AI customer service?

A chat or email agent covering top question types typically goes live in two to four weeks. Adding voice, more actions or more systems is delivered in later stages.
